2025 Player Fees & The Player Guide

  • Fees are based on room selection (one King bed, 2 Queen beds or Suites) and number of roommates (if any). For example:

  • Non-playing significant others will participate in all events and activities AND qualify for a deeply discount.

Player Fees Include:

4 Nights Lodging at the 4-star Hyatt Regency Irvine

Three (3) Dinner Parties:

  • Opening Dinner Party at the Hyatt (buffet) with entertainment includes the Team Jersey Parade, additional competitions and “hosted” beer and soft drinks (Sunday, September 21).

  • Off-Site “Mystery Venue” Dinner (buffet) includes motor coach transportation and “hosted” spirits, wine, beer (domestic and imports), and soft drinks (Monday, September 22).

  • Awards banquet at the Hyatt includes “hosted” spirits, wine, beer (domestic and imports), soft drinks (Wednesday, September 24).

Plus:

  • Hosted Afternoon Beer Gardens Poolside (September 21, 24)

  • Entry Passes into Big League Dreams Sports Park (September 22, 23, 24)

  • Jersey Trading (September 24 Beer Garden)

  • Swag bags and gifts for all registered players and guests 

  • Off-Field Competitions

  • Tournament T-shirt

  • Division champion awards (team plaque, long-sleeve sublimated shirts, medals)

  • Team MVPs Awards (every team selects its own male and female MVPs)

  • Mandatory taxes on hotel rooms, food and beverages, applicable resort fees, and dinner-related gratuities.

  • Invite to play in Day #2 One-Pitch “draft” competition, and play a minimum of three (3) games. Sign-up during Opening Registration, the draft takes place during the Opening Dinner Party. These games will not conflict with your guaranteed 12 co-ed games provided that your co-ed team has at least 3 players willing to play in the one-pitch competition

  • Entertainment, staffing, and administration expenses (includes video equipment rentals, staging, lighting, labor, entertainment, bartenders, staffing, shipping, pre-tourney newsletters, and event promotion).

Player’s “Free Night” (Tuesday night, September 23): The resort pool and hotel restaurants will remain open late… or check out the town.

Venmo: Be sure to label your transaction as “Friends & Family” (to avoid a 3% additional fee)/

* PayPal Payments: The Ad World Series account is classified as “Goods & Services” which means that a 3.5% fee applies for domestic payments, and 5.50% for international.

Non-Players & Children:

Guests enjoy the same benefits as a player, but at a discounted rate no more than $1,500.00. The “player” sharing the bedroom would be responsible for paying the Single Occupancy package fee.

Children’s Lodging:: No more than 2 adults and 2 children to a room, so anything more than 2 children would necessitate reserving a second bedroom.

Children’s Meals: A nominal charge for meals based on a child’s age.

Hotel Room Reservations:

To be guaranteed our discounted group room rate, all room reservations must be made thru the Ad World Series. Guests can change their arrival and departure dates, room type without penalty based on availability.

  • Guests may extend their resort stay (pre & post event dates) and qualify for group discounted room rates.

  • Guests will keep the same room for the duration of their stay.

Note: ASWS discounted room rates will be priced considerably LOWER per night (including taxes) than what may be advertised on the hotel’s website or other Internet sites.

Extended Night Stays:

Players may extend their hotel stay pre and post event dates…

  • Guests may extend their resort stay (pre & post event dates) and qualify for group discounted room rates.

  • Guests will keep the same room for the duration of their stay.

  • Guests can pay extra nights directly to the ASWS… or directly to the hotel via credit card/cash at checkout.

Team Entry Fees (Softball Only)

$1,500.00 per Team Entry (usually “shared” among rostered players or a team is able to secure sponsor) team. Team fees include:

  • Field Rental, Maintenance, Facility Insurance, Park Entry Fee

  • Umpires, Game Balls, Team Sanctioning, Awards

  • Certified Athletic Trainers / EMTs

  • Concessions will be available for purchase at the fields

For First Year Players “Seeking” a Team and Accommodations

  • A reasonable deposit is required by May 15 in order for the ASWS to begin a team search suitable to your preferred playing position(s) and talent level.

  • All room reservations are made by the Ad World Series and must be submitted by August 22. Changes will be made without penalty up to 72 hours before the event.

  • Final Payment Deadline: August 22

  • The Ad World Series accepts payment via: check, direct deposit, Zelle, Venmo, and PayPal (3.5% surcharge for PayPal transactions). Contact michael@adworldseries.com for account/password information.
